Modesto Junior College

Disclosure of Records

Modesto Junior College will disclose information from a student's education records only with the written consent (see form below) of the student, except:

  1. To college officials who have a legitimate educational interest in the records. A college official is:
    a.  A person employed by the college in an administrative, supervisory, academic, research or support staff  position.
    b.  A person elected to the Board of Trustees.
  2. A person employed by or under contract to the college to perform a special task, such as the attorney or auditor.
  3. A college official has a legitimate educational interest if:
    a.  Performing a task that is specified in his or her position description or by a contract agreement.
    b.  Performing a task related to a student's education.
    c.  Performing a task related to the discipline of a student, or
    d.  Providing a service or benefit relating to the student or student's family, such as health care, counseling, job placement or financial aid.
  4. Information defined as directory information*(see below).
  5. To officials of another school or college, upon request, in which a student seeks or intends to enroll.
  6. To certain officials of the U.S. Department of Education, the Comptroller General and state and local educational authorities, in connection with certain state or federally supported education programs.
  7. In connection with a student's request for or receipt of financial aid, as necessary to determine the eligibility, amount or conditions of the financial aid, or to enforce the terms and conditions of the aid.
  8. To organizations conducting certain studies for or on behalf of the college.
  9. To accrediting organizations to carry out their functions.
  10. To comply with a judicial order or a lawfully issued subpoena.
  11. To appropriate parties in a health or safety emergency.

Student must complete a Release of Student Information Form in the Enrollment Services Office.  Proper identification of both the student and parent/guardian in which information is being released to is required.  Releases expire exactly one year from the date signed and may be rescinded by the student at any time.

*Directory Information

MJC assures that student records are maintained in compliance with applicable federal and state laws relating to the privacy of student records. No district representative shall release the contents of a student record to any third party without the written consent of the student, other than directory information as defined below and information sought pursuant to a court order or lawfully issued subpoena.

Board policy 5040 defines Directory Information as:

  • student participation in officially recognized activities and sports including weight, height and high school of graduation of athletic team members;
  • degrees and awards received by students, including honors, scholarship awards, athletic awards and Dean's/President's List recognition;
  • start/end date of enrollment;
  • part time/full time enrollment (current & past semesters);
  • major (academic program);
  • units/credits completed (current & past semesters);
  • awards received, including type of degree or certificate awarded/date awarded.

If you would like your information blocked so Modesto Junior College cannot release even directory information, you must complete a Notice to Deny Disclosure of Directory Information form. This form must be submitted in-person with photo identification to Enrollment Services, Student Services Building, Room 102 or West Campus, Yosemite Hall, Room 133A.  Please note: In addition to not releasing directory information to any person or company, the college may not print your name (without your written consent) in theatrical, musical, or athletic programs, in the commencement program, or as part of the Dean's List that recognizes students for scholastic achievement.
