POSITION: ADMINISTRATIVE SUPPORT ASSISTANT I JOB #09/24
Temporary full-time position available on or after December 7, 2009 and ending on or before June 8, 2010 for University Extended Education. (Position will be appointed for six months plus one day from date of hire.) Based on budget and job performance, possibility of reappointment.
ESSENTIAL DUTIES: Under the general supervision of the Director of University Extended Education, this position will support the department by providing general office, clerical, and secretarial support. Duties include, but are not limited to:
• Answer phones, receive and greet students and other walk-in clients.
• Answer questions about UEE programs or refer more complex issues to appropriate staff.
• Provide central point of contact for all new degree program students, as well as job counselors.
• Take notes and transcribe minutes for UEE team meetings and other meetings as necessary.
• Assist students with registration for all UEE programs and classes.
• Sort and distribute daily mail; respond to emails or refer to supervisor or staff member as appropriate.
• Complete UEE registration assignments as directed by registrar, including: data entry of registration information into PeopleSoft/CMS, enter and compile data into spreadsheets, update mailing lists, file and maintain registration documents and files.
• Monitor and order office supplies as appropriate.
• Follow up with Extended Education Specialist(s) regarding interested students.
• Perform other duties or projects as assigned.
QUALIFICATIONS:
High school diploma or equivalent.
Full time equivalent of 1 year of general office clerical experience, preferably in a higher education environment.
SPECIALIZED SKILLS AND ABILITIES:
• Demonstrated knowledge of Extended Education policies and procedures preferred.
• Demonstrated experience with answering phones with multiple lines providing excellent customer service in a receptionist capacity.
• Ability to understand and follow standard office procedures.
• Experience to be proficient in performing most or all work assignments; must possess accurate typing/computer skills.
• Demonstrated ability to use a computer and standard office software packages to include Microsoft Word, Excel, Outlook, and Power Point (working knowledge of PeopleSoft preferred). Ability to use standard office equipment.
• Ability to identify and solve standard problems and refer more complex problems to appropriate staff.
• Ability to perform basic arithmetic functions, alphabetize and/or sort data.
• Demonstrated fundamental writing and presentation skills to effectively communicate standard information.
• Ability to respond to routine inquiries and explain standard policies and procedures to others.
• Ability to work independently without the benefit of continuing instruction as required.
• Basic knowledge of applicable university infrastructure, policies, and procedures.
• Demonstrated ability to effectively communicate orally and in writing using proper English grammar, spelling, and punctuation.
• Ability to establish and maintain cooperative working relationships with students, faculty, staff, and administrators.
The successful candidate must be fingerprinted and successfully pass a background check, which may include checks of employment records, criminal records, civil records, and motor vehicle records.
SALARY RANGE: $2,088 to $3,133 per month plus excellent paid benefits. (Position will be hired at the entry salary and will be appointed for six months plus one day from date of hire.)
